Office Administrator, Butser Ancient Farm

Location:Butser Ancient Farm, Waterlooville, Hampshire Salary:£17,290 Main duties:

Key Duties:

  • Monitor and manage the administrator email account, dealing with enquiries and distributing information to the relevant team members.
  • Answer telephone enquiries.
  • Manage our ticketing and annual membership system and any enquiries related to ticketing issues.
  • Monitoring office, stationary, uniform, first aid and facilities (cleaning) supplies and ordering new stock when needed.
  • Supporting the shop manager with ordering stock for the shop and café.
  • Office administration related to our animal care such as registering births and sales and updating animal care policies.
  • Trouble-shooting IT issues with the help of our remote IT support.
  • Managing our computer filing system and keeping it organised and in good working order.
  • Keep good records of staff contact details and managing our distribution lists.
  • Process lecture tour and group bookings.
  • Support our finance processing systems by monitoring invoices and purchase orders when required.
  • Support our schools bookings and administration system when required.
  • Manage our petty cash system.
  • Operate as a personal assistant to the Directors to help with some of their administrative tasks as required.
  • Assisting with any other day-to-day administrative tasks needed.
  • Occasionally serve customers in the visitor centre if necessary.
  • Undertake other duties as required to ensure the proper functioning of Butser Ancient Farm.
  • Promote the farm wherever possible and act as an ambassador for our vision and values.

Contract: Permanent (6 month probationary period)

Hours: Monday to Friday 9am to 4pm

Closing date: Sunday 19th September

Interview date: Interviews will be held in person on Thursday 30th September or Friday 1st October but will be moved to zoom If necessary due to government guidelines.

 

Purpose of the role:

We are seeking an enthusiastic and highly organised Office Administrator to join our small team. Your focus will be on making the behind-the-scenes office and administrative aspects of the organisation run as smoothly as possible. You’ll be the first point of contact for phone and email enquiries and act as an ambassador for Butser Ancient Farm with our customers. You’ll be passionate about supporting the Directors and wider team to deliver the aims and vision for the future of the organisation. You’ll need a hands-on creative approach to problem solving and thrive in a busy and varied working environment where no two days are ever the same!

About you:

  • You will have experience in an administrative and customer facing role, and be confident dealing with enquiries and resolving issues quickly.
  • You will have excellent organisational skills, attention to detail and the ability to multitask.
  • You will have a creative, collaborative, ‘can do’ attitude
  • You will be friendly, positive and a good team player to positively represent the farm and its values
  • You will be self-motivated and will have the ability to work independently and manage your own workload
  • You will have excellent written and verbal communication skills and will be a confident communicator.
  • You will have the ability to carry out research independently and accurately
  • You will be computer literate and confident working with Microsoft 365 software.
  • You will have a Full UK driving licence and access to own vehicle due to the rural location of the farm.
  • You will have an interest and enthusiasm for experimental archaeology and supporting the work that Butser Ancient Farm does to bring the past to life.

 

 

About us:

Butser Ancient Farm is a leading centre for experimental archaeology and education and a not-for-profit community interest company. In 2022 we will be celebrating our 50th anniversary and as a research site we are constantly developing  and conducting ambitious new experiments and construction projects to bring the past to life. We work with a variety of research partners and organisations including UCL Institute of Archaeology, Wessex Archaeology and Operation Nightingale.

 

Our timeline of ancient buildings covers the Stone Age, Bronze Age, Iron Age, Roman and Saxon periods and we work with an increasing number of partner organisations to interpret the latest archaeological discoveries and research and bring them to our audience of school groups and visitors.

 

In 2021 we also launched a new online offering to share and support our work, Butser Plus; through this we hope to reach more people and capture and record the unique projects and activities that take place at the farm. We are a small team where everyone gets involved and has a proactive hands-on approach to the past and to inspiring future generations about archaeology.
