What was the Project aim/s?

After the significant and focused work done on the Regional Renaissance-funded Sustainable Volunteering project in 2010-11 and the conference in 2012, our aims were to:

  • Review current volunteer management and operational policies, procedures and practice
  • Highlight and address key organisational and sustainability issues in relation to volunteer management
  • Support organisations to begin addressing issues and implementing changes recommended during the review process
  • Access, learn from and adopt best practice from the wider third sector; and
  • Improve the recruitment and retention of volunteers by fostering new or stronger links with local agencies

What was the impact of the project?

The museums gained significant learning about good practice in volunteer management; increased knowledge, skills and understanding of key individuals able to influence change; volunteers are aware of the museums’ focus on the importance of involving and recognising their contribution.

What went well and what didn’t go well?

We ran a follow up Action Learning set meeting for the original Sustainable Volunteering project participants and 1-1 support from their original consultant to see where museums were with their action plans and what issues they were continuing to face. This went really well; see below for biggest highlights that had been achieved so far....

Surrey Infantry Museum

We have created all our paperwork, so that anyone can refer to it; training up 3 different people with complementary skills, ready to take over from me when I leave; created Friends, who now act as volunteer fund-raisers.

More management buy-in to volunteering – other departments are using volunteer policies & procedures to take on and manage their volunteers; Eastbourne Borough Council HR Dept have written a volunteer standards document (equivalent to a policy, but doesn’t need to go through Cabinet); establishment of a group of volunteer managers in the Borough, to share good practice; Towner placements are paid expenses and it has been considered that the Borough allocate a budget for volunteer expenses; successful projects at Towner – short-term volunteering & training opportunities; secured funding for mentor training for volunteer supervisors.

We also set up some specific practical volunteer management training aimed at those managing or co-ordinating volunteers as part of their job/volunteer position based on the ILM Level 3 Certificate in Management of Volunteers which is a nationally recognised specialist qualification awarded by the Institute of Leadership and Management (ILM). 12 museums booked on to this.

What are your plans for the future?

  • Roll-out of an easy volunteer management database tool to museums that want it, with training support
  • Another round of volunteer management 2 day training as we have another 12 museums booked
  • Creating network opportunities for museums and 3rd sector local agencies and groups
